DCC offers its expertise in organizing large-scale events, along with providing the venue and advertising services for collaborators. Proposals are carefully reviewed by the DCC managing committee, and proposers are invited to a joint meeting to discuss the details before final approval.
TERMS AND CONDITIONS FOR ORGANIZING CULTURAL EVENTS IN COLLABORATION WITH DAE CULTURAL CENTRE
To promote art and culture, DCC partners with cultural organizations that share its goals to showcase esteemed cultural events. DCC offers its expertise in organizing large-scale events, along with providing the venue and advertising services for collaborators. Proposals are carefully reviewed by the DCC managing committee, and proposers are invited to a joint meeting to discuss the details before final approval.
- Primary Organizer: The DAE Cultural Centre (hereinafter referred to as “DCC”) shall be recognized as the principal organizer of the event. This designation must be clearly stated in all promotional materials related to the event.
- Admission Policy: Entry to the event shall be free of charge, and no paid passes shall be issued. However, passes may be distributed to manage the audience capacity, if necessary. Such passes will be distributed exclusively through the DCC office. The office expenditure for distributing passes through the DCC office shall be borne by the collaborating organization.
- Admission Inclusivity: Access to the event will be granted to all members of the DAE family, with no restrictions based on language or geographical region.
- Program Restrictions: Only the programs specified in the proposal shall be permitted on stage. No additional programs may be included without prior approval.
- Approval for Special Guests: Any intention to invite special guests, dignitaries, VIPs, or celebrities must receive prior approval from the DCC.
- Permissions for Content: The proposer is responsible for obtaining all necessary permissions from relevant state and central government authorities for the public presentation of dramas, films, or similar content. This includes obtaining authorization from the owners of any copyrighted materials used in the event.
- Content Sensitivity: The event, including its theme and content, must not be politically or religiously sensitive. The proposer is responsible for ensuring adherence to this guideline.
- Publicity Materials: Promotional materials must be in Hindi or English to ensure broad accessibility. The DCC permits the inclusion of other regional languages in the publicity materials.
- Event Compering: The event’s compering shall be conducted in Hindi or English. However, the DCC permits the use of additional regional languages to facilitate multilingual compering.
- Language-Based Art Forms: For language-based art forms not in Hindi or English, the proposer must provide subtitles or summaries of the show. This can be achieved through subtitles, printed leaflets, social media graphics, or downloadable PDFs to accommodate the audience.
- Advertising Restrictions: Banners or sponsor advertisements are prohibited within the stage area. However, sponsor standees may be placed at the entrance of the auditorium.
- Expenditure Estimate: The proposer must provide a detailed estimate of the event’s expenditure along with the proposal, including a breakdown of costs and the source of funding.
- Security Deposit: The proposer is required to submit a cheque amounting to 20% of the estimated expenditure or Rs. 20,000 (Rupees Twenty Thousand), whichever is higher. The cheque shall be provided by the proposer using their own cheque (not one from any other person or collaborating organization), and the proposer must be a DAE employee. This cheque will be either refunded or forfeited fully or partly based on the review of the event by the DCC managing committee. The cheque will be forfeited in cases of non-compliance with terms and conditions, damage or loss to DCC property or venue property, or harm to the reputation of the DAE Cultural Centre. The reputation of the DAE Cultural Centre will be evaluated based on adherence to the scheduled event timings, any public display of disputes or conflicts involving the organizers or between organizers and the public, instances of unruly behavior by the audience, and any complaints received from the audience or participants. The quantum of forfeiture shall be determined at the sole discretion of the DCC Managing Committee.
